DUTIES:

  • Reporting to the Manager, Culture & Events or designate, this position is responsible for the coordination of City Events;
  • Provides continuity, focus and purpose to the ongoing operation of events for the City of Windsor and its facilities and premises; 
  • Facilitates the development and implementation of community special events through provision of computerized booking, scheduling of support staff, and use of equipment; 
  • Handles negotiation and mediation between event organizers, stakeholders, other department representatives, agencies and organizations; 
  • Manages major outdoor event facilities, overseeing event set up/take downs and ongoing event monitoring to ensure compliance with applicable bylaws, regulations and safety standards;
  • Responsible for supervision of part-time staff and volunteers, including recruiting, training, assigning tasks and reviewing performance;
  • Assists in the preparation of annual budgets and monitor ongoing expenditures/revenues and service delivery;
  • Supports planning and implementation of special events initiated and directed by City Council;
  • Effectively communicates with affected municipal service areas and outside agencies directly impacted by the implementation of events, such as the Corporation’s Special Events Resource Team;
  • Prepares reports to Chief Administrative Officer and City Council as they relate to Special Events;
  • Performs Occupational Health & Safety duties as outlined in the Corporation’s Health & Safety program;
  • Performs other related duties as required.

QUALIFICATIONS:

  • Must have a University Degree in Recreation, Facility Management, Business Administration or related field or Ontario Ministry of Education equivalency, and a minimum of two (2) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills;
  • OR Must have a Community College Diploma in Recreation, Facility Management, Business Administration or related field or Ontario Ministry of Education equivalency, and a minimum of four (4) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills;
  • OR Must have an Ontario Secondary School graduation Diploma plus one (1) year of post-secondary education in Recreation, Facility Management, Business Administration or related field or Ontario Ministry of Education equivalency and a minimum of six (6) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills;
  • OR Must have an Ontario Secondary School graduation Diploma or Ontario Ministry of Education equivalency and over ten (10) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills.
  • Must hold and maintain a current valid and lawful Class G driver’s license in accordance with the Highway Traffic Act, for the purposes of operating a City of Windsor vehicle and provide a driver’s abstract as a condition of employment;
  • Must have proven ability to analyze problems and communicate effectively, both orally and in writing;
  • The physical demands analysis associated with this job indicates a sedentary to light level of work.
  • Must have operating knowledge in the Microsoft Office Suite of products, such as Word, Excel, PowerPoint and Access;
  • Should have knowledge of appropriate legislation and regulatory standards including but not limited to: Ontario Health, Fireworks; Technical Standards and Safety Authority;
  • Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with the work.
  • Additional courses in Event Management, Public Relations, Communication and Facilitation skills considered a definite asset;
  • Working knowledge of computerized facility booking systems software such as ActiveNet considered an asset;
  • Supervisory experience in a unionized and/or non unionized work environment considered an asset;
  • Will be required to complete and remain current as per the requirements of the Corporation’s Management Certificate Program;
  • Progression through the Art of Supervision certificate of a supervisory program of a similar nature is considered an asset.
