DUTIES:

  • Reporting to the Executive Director, Library Services/CEO, Windsor Public Library, this position will be responsible for providing administrative support to the CEO and management staff, including strategic planning and business planning/reporting;
  • Schedule and maintain CEO’s calendar; arrange and schedule appointments with internal staff and external contacts;
  • Screen and direct incoming communication from staff, public and outside agencies; compose and process highly confidential correspondence on behalf of the CEO;
  • Send outgoing materials and receive and sort mail, deliveries and incoming packages; arrange meeting setup for the CEO, and assist the Executive Assistant to the CEO with the operation of Board meetings;
  • Ensures composition of meeting agendas, minutes and arrangement of materials;
  • Monitors WPL feedback email site and directs enquiries appropriately;
  • Receive and direct staff and public enquires as required; assist with human resources functions, including administrative support for interview process;
  • Maintains departmental records management system; schedule and take minutes for JJE Committee, Joint Health & Safety Committee and ad hoc committees as required; maintains JJE records and responsible for Master binder for the JJE process;
  • Order and maintain office supply inventory; coordinate repairs and maintenance to office equipment as required;
  • Input data in Staffright for schedule changes for administration staff; 
  • Distribute and compile sample statistics for all public service locations; data entry of WPL statistics.
  • Will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program. 
  • Will perform other related duties as required.

QUALIFICATIONS:

  • Must have a Community College diploma in Office Administration, or Ontario Ministry of Education equivalency and a minimum of one (1) year of experience;
  • Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with the work.
  • The physical demands analysis associated with this job indicates a sedentary level of work.
