DUTIES:

Reporting to the Coordinator, Administration/Executive Assistant, this position will be responsible to support the processing of Transit Windsor payroll. The Payroll Clerk is the departmental Timekeeper for Workforce Time & Attendance and will be responsible for monitoring and reviewing employee timesheets to ensure accuracy of pay code use and verify actual hours worked versus scheduled hours. Will work with the managers and supervisors to ensure timesheets are approved by the deadline date. Will run audit reports reflecting time off requests and absence history. Will make adjusting entries on employee timesheets as needed; review and verify vacation, floater, and MOT entitlements for accuracy; will input following year vacation into corresponding timesheets once finalized by Maintenance and Operations divisions. Will review and audit employee timesheets for accuracy, verifying correct rate of pay, premiums, hours worked and statutory holiday entitlements. Will review Payroll Variation Sheets for Bus Operators and calculate pay variances. Will work with the Disability Management Specialist to prepare and issue payroll advance cheques. Will work in cooperation with City payroll department to prepare and distribute leave of absence forms for staff who elect not to purchase OMERS contribution, provide information on duration of long term absences for OMERS, disability waiver period; verify any unpaid days and forward forms to Payroll department once claims have been approved.  Will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program and the Canada Labour Code Part II.  Will perform other related duties as required.                                                                                                                       

QUALIFICATIONS:

  • Must have a Community College diploma in Business Administration, Accounting or related field or Ontario Ministry of Education equivalency and a minimum of one (1) year of experience processing payroll;
  • Must have excellent oral and written communication skills;
  • Must have experience using the Microsoft Suite of Products such as Word, Outlook, and Excel.
  • Must have experience using electronic time & attendance databases or systems;
  • Must successfully pass required applicant testing;
  • PeopleSoft HRMS experience would be considered an asset;
  • Must have the ability to travel to off site locations in a timely and expedient manner as required.  If method of travel is by vehicle, a current valid and lawful Driver's Licence is required in accordance with the Highway Traffic Act and must provide a driver’s abstract as a condition of employment;
  • Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with the work;
  • The physical demands analysis associated with this job indicates a sedentary level of work.
  • Given that this job was recently reclassified, a Physical Demands Analysis as well as a Job Evaluation will be completed with the incumbent after approximately six months of occupying the position.
