DUTIES:

  • Reporting to the Executive Director, Long Term Care/Administrator of Huron Lodge this position is responsible to provide confidential secretarial and a full range of administrative assistance to the Administrator, Huron Lodge. 
  • Responsible for the accurate typing of confidential correspondence, dissemination and follow-up of same with proficiency in the use of word processing and dictation equipment. 
  • Prepares all payroll information in a timely weekly basis for Huron Lodge which includes two union contracts. 
  • Maintains various employee records such as payroll, attendance, sick leave forms, leave of absence forms, vacation, overtime and seniority information for Huron Lodge. 
  • Preparation of correspondence of a confidential nature includes letters, labour relation information, council reports, policies, procedures, contracts, memorandums, forms, presentations, etc. 
  • Coordinating and taking minutes for various committees and ad hoc meetings. 
  • Prepares and processes required requisitions, invoice, travel requisitions and other financial information. 
  • Will provide strong and effective leadership to staff in a progressive, team-oriented environment. 
  • Must maintain professional relations with the residents, families, public, other service areas and fellow staff. 
  • Will be responsible for statistical reporting. 
  • Will prepare necessary reports for the Administrator.
  • Will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program. 
  • Will perform other related duties as required.

 

QUALIFICATIONS:

  • Must have a University Degree in Business Administration or Ontario Ministry of Education equivalency and a minimum of two (2) years of experience in a computerized office environment with operating knowledge of Microsoft Office Suite of Products including Word, Excel, Outlook and PowerPoint; OR
  • Must have a post secondary school community College diploma in Office Administration or Ontario Ministry of Education equivalency and a minimum of four (4) years of experience in a computerized office environment with operating knowledge of Microsoft Office Suite of Products including Word, Excel, Outlook and PowerPoint; OR
  • Must have an Ontario Secondary School Graduation Diploma plus one (1) year of post secondary school courses in Office Administration or Ontario Ministry of Education equivalencies and a minimum of six (6) years of experience in a computerized office environment with operating knowledge of Microsoft Office Suite of Products including Word, Excel, Outlook and PowerPoint; OR
  • Must have an Ontario Secondary School Graduation Diploma or Ontario Ministry of Education equivalencies and over ten (10) years of experience in a computerized office environment with operating knowledge of Microsoft Office Suite of Products including Word, Excel, Outlook and PowerPoint;
  • Must have a minimum typing speed of 50 w.p.m.; accuracy is essential
  • Must be both self-motivated and a team player;
  • Must have excellent organizational and multi-tasking capabilities;
  • Must possess strong problem-solving skills;
  • Must have excellent written and verbal communication skills;
  • Must be capable of working with a minimum of supervision;
  • Must maintain confidentiality at all times inclusive of requirements under the Personal Health Information Protection Act (PHIPA), Ministry of Health and Long Term Care, and other related act or regulations;
  • Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with work;
  • Knowledge and experience with corporate human resources, payroll in a multi-union environment, and financial systems will be considered a definite asset;
  • Will be required to complete Respirator Fit Testing every two years while working at the Huron Lodge worksite.                                                                                                                         
  • The physical demands analysis associated with this job indicates a light level of work.
