DUTIES:

Reporting to the Chief Administrative Officer, this position will support the CAO and Corporate Leadership Team with responsibility for maximizing the CAO’s productivity and value-add to the organization and community, as well as the smooth functioning of the CAO Office.  Roles include, but are not limited to:

  • "Air Traffic Controller” – anticipate, identify, triage, manage, advise, troubleshoot and solve complex daily and strategic problems, issues, and priorities;
  • Communicator – links the leadership team, broader organization and community to ensure effective and efficient real-time information flow; engages and supports media and inter-agency relations for the CAO;
  • Integrator – diplomatically connecting work streams and relationships that would may otherwise have remained siloed internally and externally;
  • Office Manager – administrative oversight and leadership for the CAO Office including correspondence, scheduling, project management, logistics, health & safety, policy compliance, budgeting, supervision of several direct reports, etc.;
  • Strategic & Innovative Policy Thinker – research, analyze, draft, and present various reports, policies, procedures, and presentations; and,
  • Proxy – step into participate, lead, chair, etc., meetings, negotiations, or other functions as the CAO’s representative.

This role will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program.  Will perform other related duties as required.

QUALIFICATIONS:

  • Must have a University Degree in Business Administration, Public Administration or Social Sciences or related field or Ontario Ministry of Education equivalency and a minimum of six (6) years of experience in senior level public or private sector;
  • Must be proficient with corporate computer applications (MS Word, Excel, OneNote, OneDrive, Outlook, PowerPoint, Zoom and Teams);
  • Must be available to attend evening and/or weekend meetings or other events as required;
  • Must be available to accommodate deadlines and/or peak period workloads that may extend beyond the normal workday as may be required;
  • Must have the ability to travel to off site locations in a timely and expedient manner as required.  If method of travel is by vehicle, a current valid and lawful Driver's Licence is required in accordance with the Highway Traffic Act and must provide a driver’s abstract as a condition of employment.
  • Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with work;
  • Will be required to complete and remain current as per the requirements of the Corporation’s Management Certificate Program;
  • Progression through the City’s Art of Supervision Program Certificate or a supervisory program of a similar nature is considered an asset;
  • Given that this job is an updated position with added duties a Physical Demands Analysis as well as a Job Evaluation will be completed with the incumbent after approximately six months of occupying the position.
