DUTIES:

  • Reporting to the Manager, Culture & Events, this position is responsible for the harmonization of community special event services including managing outdoor event facilities and equipment while acting as a vital resource to the public and staff in event monitoring:
  • Facilitates the development and implementation of community special events, through collaboration with external event organizers utilizing municipal facilities and property;
  • Coordinates computerized booking of special event facilities and equipment;
  • Coordinates access to municipal services required by event organizers;
  • Manages major outdoor event facilities, overseeing event set up/take downs and ongoing event monitoring to ensure compliance with applicable bylaws, regulations and safety standards;
  • Manages negotiation and mediation among event organizers, agencies and residents;
  • Ensures appropriate and regular maintenance for cleanliness and repair of equipment and facilities;
  • Assists in the preparation of annual budgets and monitor ongoing expenditures/revenues and service delivery;
  • Supports planning and implementation of special events initiated and developed through Community and varying City Services;
  • Effectively communicates with affected municipal service areas and outside agencies directly impacted by the implementation of events, such as the Corporation’s Special Events Resource Team;  
  • Develops and maintains special event guidelines and procedures manuals, in cooperation with affected service areas for event organizers to aid in effective operations and expectations;
  • Prepare reports to Chief Administrative Officer and Windsor City Council as they related to Special Events;
  • Works closely with associated staff to support the delivery of service;  
  • Performs Occupational Health & Safety duties as outlined in the Corporation’s Health & Safety program;
  • Performs other related duties as required.

QUALIFICATIONS:

  • Must have a University Degree in Recreation, Physical Education, Human Kinetics, Business, Public Administration, Communications or Social Sciences or other similar field or Ontario Ministry of Education equivalency, and a minimum of two (2) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills;
  • OR Must have a post secondary community College Diploma in Recreation, Physical Education, Human Kinetics, Business, Public Administration, Communications or Social Sciences or other similar field or Ontario Ministry of Education equivalency, and a minimum of four (4) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills;
  • OR Must have an Ontario Secondary School graduation Diploma plus one (1) year of post-secondary education in Recreation, Physical Education, Human Kinetics, Business, Public Administration, Communications or Social Sciences or other similar field or Ontario Ministry of Education equivalency and a minimum of six (6) years of related experience to acquire required skills including supervision, conflict resolution, administrative and organizational skills;
  • Additional courses in Event Management, Public Relations, Communication and Facilitation skills considered a definite asset;
  • Must have proven ability to analyze problems and communicate effectively, both orally and in writing;
  • Must have operating knowledge in the Microsoft Office Suite of products, such as Word, Excel, PowerPoint and Access;
  • Working knowledge of computerized facility booking systems software such as ActiveNet considered an asset;
  • Supervisory experience in a unionized and/or non unionized work environment considered an asset;
  • Must have knowledge of appropriate legislation and regulatory standards including but not limited to: Ontario Health, Fireworks; Technical Standards and Safety Authority;
  • Must have knowledge of the Occupational Health & Safety Act, its regulations and knowledge of the hazards associated with the work;
  • Must hold and maintain a current valid and lawful Class G driver’s license in accordance with the Highway Traffic Act, for the purposes of operating a City of Windsor vehicle and provide a driver’s abstract as a condition of employment;
  • Will be required to complete and remain current as per the requirements of the Corporation’s Management Certificate Program;
  • Progression through the Art of Supervision certificate of a supervisory program of a similar nature is considered an asset;
  • The physical demands analysis associated with this job indicates a sedentary level of work.
