DUTIES:

  • Reporting to the Supervisor, Assets & Facility Projects or designate, this position will provide technical and administrative support and will be responsible to ensure compliance with operating agreements, leases, internal service levels, client expectations, legislative requirements and project management. 
  • Will conduct research for, develop, and prepare lease/operating agreements, Council/Committee reports, policies, procedures, training manuals, grant applications, correspondence, fire safety plans, emergency preparedness plans and Level of Services (LOS) documents.
  • Undertake project management duties including; Requests for Quotations/Tenders/Proposals, specifications, scope and terms documents, cost estimates, procurement/purchasing documents. Assists in the monitoring, allocations and enforcement of agreements, contracts, tenders, warranties, purchasing by-laws, codes and budgets. 
  • Will be required to train staff in the requirements of tenant and LOS agreements.  Will assist in the development, preparation and monitoring of the department budget and will coordinate, participate in and record tenant committee and departmental meetings. 
  • Provides administrative/technical support in the development and implementation of preventative maintenance and inspection programs.  Assists in the entering, monitoring and closing work orders for service, maintenance and projects in the Computerized Maintenance Management System (FAMIS 360, CityWide, etc.) service request system. 
  • Assists in the monitoring and analysis of internal/external recoveries, productivity, trending, cost effectiveness, employee training and life-cycle costs. 
  • Will be required to coordinate and attend site visits and prepare addendums. 
  • Will be required to maintain amiable relations with the public, tenants and fellow staff. 
  • Will carry out special assignments.
  • Will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program. 
  • Will perform other related duties as required.

 

 

QUALIFICATIONS:

  • Must have a University Degree in Engineering, Architecture, Business Administration, Information Technology, or Facility Management or Ontario Ministry of Education equivalency and a minimum of one (1) year of experience in a facilities related environment with small to large facilities,
  • OR Must have a post secondary Community College Diploma in Engineering, Architecture, Business Administration, Information Technology, or Facility Management or Ontario Ministry of Education equivalency and a minimum of two (2) years of experience in a facilities related environment with small to large facilities,
  • Must have the ability to travel to off-site locations in a timely and expedient manner as required. If method of travel is by vehicle, a current valid and lawful Driver's License is required in accordance with the Highway Traffic Act and must provide a driver’s abstract as a condition of employment.
  • Must have knowledge of, and experience with, building systems, facility maintenance/management, building codes, project management, report writing, construction and design.
  • Must have acquired skills in reading and interpreting construction drawings.
  • Must have operating knowledge in the Microsoft Office Suite of products, such as Word, Excel, PowerPoint and Access.
  • Must possess effective oral and written communication skills as well as interpersonal skills.
  • Should have knowledge of the Occupational Health & Safety Act, its regulations and knowledge of the hazards associated with the work.
  • Facility-related designations such as Real Property Administrator (RPA), Facilities Management Administrator (FMA), Systems Maintenance Administrator (SMA) or Certified Facility Manager (CFM) will be considered an asset.
  • The physical demands analysis associated with this job indicates a light level of work.
